Create and distribute a report

In this article, we will show you how to create and distribute a report in Trend Monitor.

 

What is a distributed report?

A distributed report allows you to share insights from a specific Topic in your Trend Monitor with others. The report contains all graphs and data from that Topic and looks exactly the same as it does inside the application.

Recipients can open the report through a unique link they receive by email, giving them access only to that specific report view.

 

Steps to create and distribute a report

  1. Open the Topic you want to create a report from.
  2. Click the mail icon in the top right corner labeled Create and Distribute Report.
  3. Click Create to start a new report.
  4. Choose report type:
    1. One time report with fixed time frame creates a report for a specific period that is sent once.
    2. Schedule report allows you to send reports automatically at chosen intervals.
      You can choose to send the report weekly, monthly, quarterly, half-yearly or yearly, and set the exact date for distribution.
      You can also define how much data to include, either the past 12 months or from a start date you set yourself.
  5. Give your report a title and add a short description.
  6. Choose who you want to share the report with. You can select registered users or enter email addresses manually.
  7. Click Create to generate and save your report.

When your report is created, it will appear in the list under Reports. From here, you can send it to all recipients, send it only to yourself, or edit or delete the report.

You have now successfully created and distributed a report.

 

Important notes

  • Reports are created from a single Topic, not the entire Trend Monitor.
  • A report is a snapshot of the data from the time it was created. It will not update when new data becomes available.
  • Recipients receive an email with a link to open the report in a separate report view that don't require login.
  • Reports can be opened by anyone who has access to the link.
  • You need to have Editor or Administrator rights to create and distribute reports.
  • Scheduled reports are automatically sent to the selected recipients according to the chosen interval and date.
